Sri Lanka Crew Layovers: HOTAC, Transfers and Schedule Changes

A Sri Lanka crew layover works best when the hotel, airport transfer and next duty are planned together. A room reservation alone does not establish that the crew can reach the hotel, obtain the intended rest or return to the aircraft at the required time. HOTAC means hotel accommodation; in an aviation request it should be connected to the operating schedule.

Start with the duty plan

Provide arrival time, expected release from airport duties, next reporting time and the operator’s accommodation requirements. Use UTC for the flight schedule and label local times clearly when discussing hotel check-in or transport. The operator determines rest and duty compliance under its applicable rules; a hotel booking should never be presented as proof that those requirements have been met.

Allow for the actual sequence after arrival: aircraft tasks, airport formalities, baggage collection and the transfer. The room needs to support the intended rest opportunity after those tasks, not simply be available on the calendar date of landing.

Brief the hotel requirement clearly

  • Crew count, names where needed and room allocation.
  • Check-in and check-out requirements, including early arrival or late departure.
  • Quiet-room preferences and any operator hotel standards.
  • Meal arrangements and access to food during unusual hours.
  • Transport needs, luggage volume and crew reporting location.
  • Cancellation terms, payment method and the person approving extra costs.

Share only the personal information needed for the arrangements through the agreed operational channel. Keep crew lists current when a substitution occurs.

Choose location by usable rest time

For a short layover, proximity to the operating airport may matter more than city amenities. For a longer stay, a different location may be practical, but road travel and the reporting schedule still need consideration. Avoid quoting a guaranteed drive time: actual conditions and pickup arrangements can change.

Match the hotel and transport to the selected gateway. A Colombo hotel plan should not automatically be reused for a Mattala or Jaffna movement. Consult the airport references and confirm the local arrangement.

Coordinate the transfer in both directions

Confirm the pickup point, driver contact, vehicle capacity and how arrival updates reach the transport provider. Establish who informs the driver when airport formalities take longer than expected. For departure, work backwards from crew reporting time and the operator’s requirements rather than using the aircraft departure time as the pickup target.

Keep passenger transport and crew transport identifiable as separate tasks. Different destinations or release times can make a shared vehicle unsuitable even when everyone arrives on the same aircraft.

Manage a delayed departure

When the aircraft schedule changes, reconfirm the room extension, pickup time, cancellation exposure and the crew’s revised duty plan. Ask whether the existing booking can accommodate the change before assuming availability. Send a single updated schedule to the trip support coordinator so hotel and airport arrangements do not diverge.

Does HOTAC include airport transport?

Only when explicitly included. Confirm both the arrival and departure transfers in the quotation.

The operator assesses rest and duty compliance. Local coordination supports the logistics but does not replace that assessment.
