A business jet catering request in Sri Lanka should begin with the aircraft’s galley and the passengers’ requirements. A menu that looks suitable on the ground may be difficult to store, heat or serve on board. The catering plan also needs to match the flight time, crew workflow and confirmed delivery arrangement.

This is an ordering checklist for operators and cabin teams flying from Sri Lanka to the Middle East and Asia. It does not imply that every menu, supplier or dietary certification is available at every airport. Confirm sourcing and delivery for the specific movement before accepting an order.

Brief the aircraft and service style

Provide the aircraft type, galley capabilities, refrigeration arrangements and any restrictions affecting containers or packaging. Explain whether the service will be cold, reheated or plated on board, and who will receive and check the delivery.

A short sector to India and a longer flight to the Gulf may require different quantities and service timing. Ask the cabin team to assess meals, beverages and crew provisions against the actual flight, rather than ordering solely by passenger count.

Prepare the order details

  • Airport, registration, flight reference and departure date and UTC time.
  • Number of passengers and crew, with separate meal quantities where appropriate.
  • Menu preference, portion requirements and beverage order.
  • Allergies and dietary restrictions, recorded clearly.
  • Galley limitations, packaging dimensions and serving equipment needs.
  • Required delivery time, receiving contact and payment arrangements.

Treat dietary requirements as confirmation items

Distinguish a passenger preference from a safety-critical allergy. Ask the supplier about ingredients, preparation and cross-contact controls. Do not promise an allergen-free meal merely because an ingredient is omitted from a menu description. The cabin team should follow its own acceptance and service procedures.

For halal, vegetarian or other specified meals, define the requirement rather than relying on a general label. If certification is required, request evidence from the supplier. Similar care applies to special beverages and passenger-requested products.

Confirm the quotation and substitution process

Obtain a written menu, quantities, inclusions and charges. Ask which items are unavailable and agree how substitutions will be authorised. Confirm order deadlines and cancellation or change terms directly with the provider; these depend on the order and airport rather than a single countrywide rule.

When passengers ask for a last-minute addition, check feasibility before committing. A replacement product may have different ingredients, packaging or storage needs and should be accepted explicitly.

Coordinate delivery with the turnaround

Agree the delivery location, receiving contact and the applicable airside access arrangements. Coordinate this with ground handling so the order arrives within the crew’s preparation sequence. Confirm whether catering removal, waste handling or additional equipment is included or needs a separate request.

At receipt, the crew should check the order against its procedures: quantities, labels, packaging condition and any required food-safety controls. The supplier is responsible for its provision, while onboard handling remains subject to the operator’s standards.

Reconfirm after a schedule change

A delay can affect preparation and delivery. Tell the coordinator about changes to departure time, registration, airport or passenger numbers and obtain revised confirmation. Avoid assuming that an already prepared order can simply wait indefinitely. Keep the order reference linked to the latest flight brief.
